DepEd Eclass Record: What It Computes and Who Uses It

DepEd Eclass Record: What It Computes and Who Uses It

TL;DR: The DepEd e-class record (ECR) is a spreadsheet file, not a website. There is no eclass record portal, no account and nothing to log into. Teachers open the file, enter raw scores by component, and the formulas do five things set out in DepEd Order No. 015, s. 2026: total the raw scores, convert them to percentage scores, multiply by the component weights, add the weighted scores into an Initial Grade, and transmute it where a transmutation table still applies. The reason two teachers can key in identical scores and land on different grades is almost always the file: templates built for DepEd Order No. 8, s. 2015 are still circulating, and that order was repealed on 4 June 2026.

This guide is about the mechanics of the file itself: what it holds, what it calculates, which version of the maths applies to which grade level this school year, and how to tell a current template from a stale one. If you want the policy story of what a class record is and why it is required at all, our companion electronic class record explainer covers that ground.

It Is a File, Not a Portal

Worth stating plainly, because the search phrase looks like the name of a system. The e-class record is a spreadsheet template. DepEd released the original official versions free to public school teachers with per-grade-level user manuals, deliberately built on basic spreadsheet features so they would run on the machines teachers actually have. There is no login step, no dashboard and no online submission built into the file itself.

What is required by policy is the class record, in whatever form. DepEd Order No. 006, s. 2025 lists Class Record among the standard school forms for all teachers, and DO 015, s. 2026 requires teachers to maintain complete and accurate class records to support all grading decisions, subject to validation by school heads and instructional supervisors. The spreadsheet is a convenience wrapped around that obligation.

Who Uses It, and Who Checks It

  • Subject teachers enter raw scores per component as assessments are completed.
  • Class advisers consolidate across learning areas for the learner report.
  • School heads and instructional supervisors validate. DO 015, s. 2026 makes class records subject to their validation to ensure transparency, consistency and accountability.
  • Records staff keep the supporting documents. The order requires assessment tools, rubrics, raw scores and feedback records to be retained for at least one school year, or longer if needed for audit, validation or appeals, with digital records held in official DepEd systems, networks or authorised drives under controlled and logged access.

The Five Computation Steps

DO 015, s. 2026 spells out the arithmetic the spreadsheet performs. Knowing it means you can check any file by hand.

  1. Total the raw scores for each component: Written and Oral Works (WWs), Product and Performance Tasks (PTs), and Examinations (EXs) where applicable.
  2. Convert to a percentage score: PS = (Raw Score / Highest Possible Score) x 100.
  3. Compute the weighted score: WS = PS x Weight (%).
  4. Add all weighted scores to get the Initial Grade (IG) for the term.
  5. Apply the transmutation table where one still applies, producing the Term Grade as a whole number.

Inside the Examinations component the split is fixed: 30 percent for the first summative test, 30 percent for the second, and 40 percent for the term examination.

The Weights the File Should Be Using

These are the weights in DO 015, s. 2026. If the template on your screen disagrees, the template is wrong, not the order.

Grades 4 to 10 (Key Stages 2 and 3):

Learning area groupWWsPTsEXs
English, Filipino, Mathematics, Science, Araling Panlipunan, GMRC / Values Education20%50%30%
EPP / TLE and MAPEH20%60%20%

Grades 11 to 12 (Key Stage 4), under the Strengthened SHS Curriculum:

Subject groupWWsPTsEXs
SHS Core Subjects and other SHS Academic Electives20%50%30%
SHS Field Exposure, Arts Apprenticeship, Creative Production and Innovation15%70%15%
SHS Arts, Sports, and Health and Wellness Electives20%60%20%
SHS Research Electives and Design and Innovation40%60%none
SHS Tech-Pro Electives15%65%20%
SHS Work Immersion20%80%none

Two of those rows behave unusually and the file has to reflect it. For Field Exposure, Arts Apprenticeship and Creative Production, the Examinations component consists solely of a term examination with no summative tests, carrying the full 15 percent. For Work Immersion, the 20 percent Written and Oral Works component refers to the learner portfolio and the 80 percent Product and Performance Tasks component corresponds to the industry evaluation supplied by the workplace supervisor.

Transmutation, and When It Stops

This is the moving part of the current school year, and the part most likely to be wrong in a downloaded file.

School yearKey Stages 2 to 4
SY 2026-2027Adjusted transmutation table applies; an Initial Grade of 70.00 corresponds to a transmuted passing grade of 75
SY 2027-2028 onwardsZero-based grading; the Term Grade is the computed Initial Grade with no transmutation, 75 minimum passing

There is one dated exception to note and not to over-generalise. DO 015, s. 2026 provides that for SHS Grade 12, which had not yet implemented the Strengthened SHS Curriculum in SY 2026-2027, the weights in DO No. 8, s. 2015 apply together with the adjusted transmutation table. That is the only surviving use of the repealed order's weights, and it is tied to one grade level in one school year. Our transmutation table guide covers the conversion itself, and the grade computation walkthrough works an example end to end.

Kindergarten to Grade 3 Is Different

At Key Stage 1 the class record stops being a scoresheet. DO 015, s. 2026 provides that class records there shall be maintained primarily as qualitative documentation: observations, anecdotal records, learner outputs and rubric-based assessments. A numerical equivalent may be derived where system-level reporting needs one, but the order states that numerical grades shall not replace descriptive reporting for parents or guardians. The rollout is phased across Kindergarten and Grade 1, then Grade 2, then Grade 3.

Why Two Files Disagree

Almost every "my ECR gives a different grade" question resolves to one of these:

  • The template cites DO 8, s. 2015. It was built for the repealed policy. The formulas are internally consistent and the answer is still wrong.
  • It has four quarters. Public schools moved to a three-term calendar under DepEd Order No. 009, s. 2026. A four-quarter sheet does not map onto three terms.
  • It uses the label "Quarterly Assessment." The current component names are Written and Oral Works, Product and Performance Tasks, and Examinations.
  • The Examinations tab has no 30/30/40 split. That internal distribution is prescribed, not optional.
  • It applies transmutation in the wrong year, or to Key Stage 1.
  • It is a Senior High file using one weight set for every elective. Key Stage 4 has seven distinct subject groupings, not one.

A revision is on the way rather than already here. DO 015, s. 2026 tasks the Bureau of Learning Delivery with collaborating on the revision of school forms, electronic class records and related templates, and DepEd Order No. 017, s. 2026 states that assessment and grading for Core Subjects and Electives, and revised e-class records, shall be aligned with the assessment policy. Until the revised files reach your division, verify the weights in whatever you open. Our overviews of the new grading order and the Strengthened SHS Curriculum cover what changed around it.

What Not to Do With the File

DO 015, s. 2026 sets limits on AI use in assessment. Determining Final Grades, replacing professional judgment, and evaluating outputs without validation are listed as prohibited. Drafting test items, language polishing and drafting feedback are allowed subject to teacher review. The order also states that personally identifiable learner data shall not be uploaded to AI platforms, which rules out pasting a class list into a chatbot to "check" the computation.

Frequently Asked Questions

What is the DepEd eclass record?

It is a spreadsheet template used by public school teachers to record learner scores and compute grades automatically. It is a file, not a website: there is no eclass record portal and nothing to log into. What DepEd policy actually requires is a class record; the electronic spreadsheet is one convenient way of keeping one.

How does the eclass record compute a grade?

DepEd Order No. 015, s. 2026 sets five steps. Total the raw scores for each component, convert them to a percentage score using raw score divided by highest possible score times 100, multiply each percentage score by its component weight to get a weighted score, add the weighted scores to get the Initial Grade, then apply the transmutation table where one still applies.

What component weights does the eclass record use now?

For Grades 4 to 10, English, Filipino, Mathematics, Science, Araling Panlipunan and GMRC or Values Education use 20 percent Written and Oral Works, 50 percent Product and Performance Tasks and 30 percent Examinations; EPP or TLE and MAPEH use 20, 60 and 20. Senior High runs on a separate table with seven different subject groupings.

Is transmutation still applied in the eclass record?

For SY 2026-2027 only, using an adjusted table in which an Initial Grade of 70 corresponds to a transmuted passing grade of 75. Beginning SY 2027-2028, DepEd Order No. 015, s. 2026 provides that a zero-based grading system applies for Key Stages 2 to 4, with Term Grades taken directly from Initial Grades and 75 as the minimum passing grade.

Why do old eclass record templates give different results?

Because they were built for DepEd Order No. 8, s. 2015, which DepEd Order No. 015, s. 2026 repealed. A template with a Quarterly Assessment column, four quarters instead of three terms, or the old component weights will compute a wrong number using formulas that look perfectly correct.

Do Grade 12 teachers use the same weights this school year?

Not necessarily. DepEd Order No. 015, s. 2026 provides that for SHS Grade 12, which has not yet implemented the Strengthened SHS Curriculum in SY 2026-2027, the weights in DO No. 8, s. 2015 shall apply together with the adjusted transmutation table. That is a narrow, dated carve-out, not a general rule.

Can teachers use AI tools with the eclass record?

Only within limits. DepEd Order No. 015, s. 2026 lists determining Final Grades, replacing professional judgment, and evaluating outputs without validation among prohibited uses of AI, and states that personally identifiable learner data shall not be uploaded to AI platforms.

Does SchoolFinderPH host eclass record templates?

No. SchoolFinderPH is an independent school directory and not a government portal. We do not host DepEd forms or grading templates, cannot process grades, and have nothing to log into. Official templates come from DepEd itself and from your schools division office.
