The DepEd Electronic Class Record, Explained

TL;DR: The Electronic Class Record (ECR) is a spreadsheet teachers use to log scores and compute grades. What policy actually requires is a class record, in any form: DepEd Order No. 006, s. 2025 lists it among the standard forms every teacher keeps, and DepEd Order No. 015, s. 2026 requires class records complete and accurate enough to support every grading decision, open to validation by school heads. The maths inside changed on June 4, 2026, when DO 015, s. 2026 repealed DepEd Order No. 8, s. 2015. Most ECR templates, tutorials and explainers circulating online still follow the repealed order, including DepEd's own e-class record download page, which as of August 2026 still describes its templates as consistent with DO 8, s. 2015.

If you are a teacher opening an ECR file for SY 2026-2027, or a parent trying to understand where a report card number comes from, the important thing to know first is that the rulebook changed this school year. This guide covers what a class record is required to contain, how a grade is now built from its columns, what the transition to zero-based grading does to transmutation, and how to tell a current template from a stale one. It is an explainer, not a download page: we do not host DepEd forms or templates and there is nothing here to log into.

What Is the Electronic Class Record?

The ECR is a spreadsheet built to hold raw scores by component and compute a learner grade automatically. DepEd developed and released the original official templates free for public school teachers, with per-grade-level user manuals and an accompanying guide to basic spreadsheet commands, and DepEd Memorandum No. 60, s. 2015 covers their provision. They were designed deliberately simply, using basic spreadsheet features, so that they would keep working on the machines teachers actually have.

The templates were written to compute grades consistent with DepEd Order No. 8, s. 2015. That is the sentence to keep in mind for the rest of this guide, because that order no longer governs.

Disclaimer: grading rules are mid-transition, with different provisions taking effect for different grade levels across SY 2026-2027 to SY 2028-2029. Confirm what applies to your grade level with your school head or Schools Division Office before relying on any summary, including this one.

Is a Class Record Required, or Only the Spreadsheet?

The record is required; the file format is not the point. Two current issuances say so.

DepEd Order No. 006, s. 2025, "Guidelines on the Streamlining of School Forms and Reports Accomplished by Teachers," lists Class Record in Enclosure 1 as a standard school form for all teachers under the Assessment of Learners' Progress sub-category, alongside Learning Outcome Assessment, Test Result and Analysis, and the Report on Remedial and Intervention Program. That order exists to cut paperwork, and the class record survived the cut.

DepEd Order No. 015, s. 2026 goes further on substance. It requires that teachers maintain complete and accurate class records to support all grading decisions, and that those records be subject to validation by school heads and instructional supervisors to ensure transparency, consistency and accountability. It also sets a retention rule: supporting documents, including assessment tools, rubrics, raw scores and feedback records, are kept for at least one school year or longer if needed for audit, validation or appeals, with physical records in secure cabinets on school premises and digital records in official DepEd systems, networks or authorised drives, under controlled and logged access.

Which Order Governs Grading Now?

DepEd Order No. 015, s. 2026, "Revised Guidelines on Classroom Assessment, Grading System, and Awards and Recognition for the K to 12 Basic Education Program," signed June 4, 2026 and implemented from SY 2026-2027. Paragraph 6 repeals DepEd Order No. 8, s. 2015 and DepEd Order No. 36, s. 2016 outright.

This matters more for the ECR than for almost any other document, because a class record template is the rulebook made executable. A spreadsheet built for the old order will happily produce a wrong number using the right formulas. Search results are dominated by material written before June 2026: template downloads, tutorial videos, computation walkthroughs. As of August 2026, DepEd's own E-Class Record Templates download page still describes its templates as allowing computation of grades consistent with DepEd Order No. 8, s. 2015, and the new order tasks the Bureau of Learning Delivery with collaborating in the revision of school forms, electronic class records and related templates. Until a revision lands and reaches your division, verify the weights in any file you open. Our companion guides cover what the new grading order changed and how a DepEd grade is computed step by step.

How Is a Grade Built From the Class Record Now?

For Key Stages 2 to 4, grading stays numeric and still runs on three components, now named Written and Oral Works (WWs), Product and Performance Tasks (PTs), and Examinations (EXs).

Learning area groupWWsPTsEXs
English, Filipino, Mathematics, Science, Araling Panlipunan, GMRC / Values Education (KS2-KS3)20%50%30%
EPP / TLE and MAPEH (KS2-KS3)20%60%20%
SHS core subjects and other SHS academic electives (KS4)20%50%30%
SHS Field Exposure, Arts Apprenticeship, Creative Production and Innovation (KS4)15%70%15%
SHS research electives and Design and Innovation (KS4)40%60%none

Inside the Examinations component, the split is fixed: the first summative test 30 percent, the second summative test 30 percent, and the term examination 40 percent. The weighted scores across components add to an Initial Grade, which becomes the Term Grade, and the Final Grade for a learning area is the average of the Term Grades rounded to a whole number, with 75 as the minimum passing mark.

Transmutation is on its way out in two steps. For SY 2026-2027 an adjusted transmutation table applies, under which an Initial Grade of 70.00 corresponds to a transmuted passing grade of 75. From SY 2027-2028, zero-based grading applies for Key Stages 2 to 4 and the Term Grade comes directly from the Initial Grade with no transmutation at all. Our transmutation table guide covers the mechanics of the conversion itself.

What Changes for Kindergarten to Grade 3?

The class record stops being a scoresheet. DO 015, s. 2026 provides that at Key Stage 1, class records shall be maintained primarily as qualitative documentation: observations, anecdotal records, learner outputs and rubric-based assessments, supporting descriptive rather than numeric reporting. Where a numerical equivalent is needed for system-level reporting, it may be derived from those records, but the order states plainly that numerical grades shall not replace descriptive reporting for parents or guardians.

The rollout is phased: descriptive grading covers Kindergarten and Grade 1 in SY 2026-2027, adds Grade 2 in SY 2027-2028, and reaches Grade 3 in SY 2028-2029. Grades 2 and 3 stay on numeric grading with the adjusted transmutation table during the transition.

Where the Class Record Ends Up

Final numeric grades for Key Stages 2 to 4 are recorded in the class record and then reflected on the learner report, which is what a family actually sees. At Key Stage 1, performance is reported through descriptive indicators and narrative remarks attached to the report card instead. Either way, grades are submitted at the end of each term using official DepEd forms and digital systems, in accordance with DepEd Order No. 006, s. 2025. For what lands in a parent hand, see our SF9 report card guide; for how the class record sits among the other school records, see the SF1 to SF10 overview.

Practical Checks Before You Trust a Template

  • Check the order number printed in the file. If it cites DO 8, s. 2015, it was built for the repealed policy.
  • Check the component names. Written and Oral Works, Product and Performance Tasks, and Examinations are the current labels; Quarterly Assessment is the old one.
  • Check the term structure. Public schools now run three terms under DepEd Order No. 009, s. 2026, so a four-quarter template is a warning sign.
  • Check the examination split. 30 / 30 / 40 across ST1, ST2 and the term examination is what the current order specifies.
  • Do not upload learner data to AI tools. The order prohibits uploading personally identifiable learner data to AI platforms and bars AI from determining Final Grades.
  • Follow your division. Where a division has issued its own validated template, that is the one to use, not a file from a download aggregator.

Frequently Asked Questions

What is the DepEd Electronic Class Record?

The Electronic Class Record, or ECR, is a spreadsheet template teachers use to enter learner scores and compute grades automatically. DepEd provided the original official templates free to public school teachers, together with user manuals, in connection with DepEd Order No. 8, s. 2015 and DepEd Memorandum No. 60, s. 2015. The class record itself, not the spreadsheet, is what policy actually requires.

Is the e-class record required, or just the class record?

Policy requires a class record; the electronic format is a convenience. DepEd Order No. 006, s. 2025 lists Class Record among the standard forms for all teachers under Assessment of Learners' Progress, and DepEd Order No. 015, s. 2026 states that teachers shall maintain complete and accurate class records to support all grading decisions, subject to validation by school heads and instructional supervisors.

Which DepEd order governs grading now?

DepEd Order No. 015, s. 2026, signed June 4, 2026 and effective SY 2026-2027. Paragraph 6 of that order repeals DepEd Order No. 8, s. 2015 and DepEd Order No. 36, s. 2016. Most e-class record tutorials, template downloads and explainers online still describe the repealed 2015 policy, so check the date and the order number on anything you follow.

What are the grade component weights under the current order?

For Key Stages 2 and 3, English, Filipino, Mathematics, Science, Araling Panlipunan and GMRC or Values Education use 20 percent Written and Oral Works, 50 percent Product and Performance Tasks, and 30 percent Examinations. EPP or TLE and MAPEH use 20, 60 and 20. Within the Examinations component, the first summative test carries 30 percent, the second 30 percent, and the term examination 40 percent.

Is transmutation still applied in the class record?

For SY 2026-2027 only, and on an adjusted table. DepEd Order No. 015, s. 2026 provides that an adjusted transmutation table applies as a transition, in which an Initial Grade of 70 corresponds to a transmuted passing grade of 75. Beginning SY 2027-2028, zero-based grading applies to Key Stages 2 to 4 and Term Grades come straight from the Initial Grade with no transmutation.

Do Kindergarten to Grade 3 teachers still keep a class record?

Yes, but a different kind. Under DepEd Order No. 015, s. 2026, class records at Key Stage 1 shall be maintained primarily as qualitative documentation. Numerical equivalents may be derived from them when system-level reporting needs a number, but the order is explicit that numerical grades shall not replace descriptive reporting for parents or guardians.

Can teachers use AI tools with their class record?

Only within limits. DepEd Order No. 015, s. 2026 lists determining Final Grades, replacing professional judgment, and evaluating outputs without validation as prohibited uses of AI, while allowing drafting test items, language polishing, and drafting feedback subject to teacher review. The order also states that personally identifiable learner data shall not be uploaded to AI platforms.

Where do official ECR templates come from?

From DepEd itself, through its own resources pages and the Learner Information System support page. Many popular download sites are not DepEd. SchoolFinderPH is not a government portal, does not host school forms or grading templates, and cannot process grades. Confirm any template against the current order and your division guidance before using it for real grades.
