Cavite State University: Admission Requirements and Process

Cavite State University runs one of the most decentralised admission processes among Philippine state universities. Twelve campuses, twelve application windows that open on the same day and close anywhere from two months to six months apart, and a rule that you may only apply to one of them. That combination means the single most consequential decision you make at CvSU happens before you fill in any form.

The second thing to know: the admission exam is not the first gate. A validation appointment is. You cannot even select an appointment date until your documents are completely and correctly uploaded, and you cannot get an exam permit until OSAS validates you in person on that date.

This guide covers the campus and category structure, the upload rules, the appointment mechanics, and a genuine conflict between two CvSU pages that applicants should know about. For the university's location, contacts and profile, see our Cavite State University - Imus Campus page.

One campus only

CvSU's own FAQ is unambiguous: "An applicant cannot apply to more than one campus at the same time because there should only be one application existing for one applicant."

The campuses that have appeared on CvSU's application schedule are the Main Campus in Indang, Imus, Naic, Silang, the CvSU Learning Center in Dasmariñas, General Trias, Cavite City, Bacoor, Tanza, Carmona, CCAT and Trece Martires City.

They do not run on one clock. In the cycle CvSU published in detail, all of the earlier campuses opened applications on the same November date, but the Main Campus and Imus closed in January while Carmona stayed open into May — and two campuses did not open until January at all. Validation periods diverged even further, with some campuses' validation not starting until weeks after applications opened elsewhere.

The practical consequence: the popular campuses close first. Applying to Indang in April is not an option that exists, even while another campus is still accepting. Check the current schedule for the specific campus you want, early, and check it more than once.

Programme availability also differs by campus. CvSU's colleges — agriculture, arts and sciences, criminal justice, education, economics and management, engineering and information technology, nursing, sports and physical education, veterinary medicine, medicine, tourism and hospitality management, and the graduate school — are not replicated everywhere. Confirm your course runs where you are applying before you commit your one application to it. If cost is part of the decision, our guide to free tuition colleges in Cavite covers the state-funded options in the province.

Which category are you?

CvSU defines these explicitly, and picking the wrong one is grounds for problems later:

CategoryDefinition
First year applicant / New studentA current Grade 12 student expecting to finish senior high school at the end of the school year; a senior high school graduate who has never been enrolled in any college or university; an ALS completer; or an associate, certificate, vocational or diploma degree holder
TransfereeAn applicant who started college at another university or school, or at another CvSU campus
Second CourserAn applicant who has already completed and graduated with any bachelor's degree programme
TCP ApplicantAn applicant who graduated with any bachelor's degree and wants to pursue 18 units of Education
Foreign ApplicantAn applicant born in and coming from another country who is interested in studying at CvSU

Note that moving between CvSU campuses makes you a transferee, not a continuing student. And note that a vocational or diploma holder counts as a first year applicant, not a transferee — a distinction that changes which documents you need and, per one of CvSU's pages, whether you sit the exam.

The upload rules, which are stricter than they look

CvSU is unusually specific about file handling, and applications stall here:

  • The 2x2 ID photo on a white background must be at most 200KB.
  • Each documentary requirement is limited to 1MB (1024KB).
  • File type must be JPEG, PNG or BMP.
  • Upload scanned pages individually, one per page.
  • A screenshot taken with a cellphone is allowed — CvSU says so explicitly, which saves people hunting for a scanner.

Alongside those, CvSU asks that the declared track or strand in the online application form match the track or strand shown in your documentary requirement, that you choose the correct entry type or category, that you check everything for typos before saving, and that you save the application every time you change a field or page.

All documentary requirements must be signed by authorised school personnel. And CvSU adds a warning with teeth: if the attached document is not really the document being required, the application will be and can be declined due to dishonest application.

Documents by category

  • Current Grade 12 student — completed Grade 11 card covering first and second semesters, plus a certificate from the principal or adviser stating the applicant is currently enrolled as a Grade 12 student, with the track/strand and school year indicated.
  • Senior high school graduate — completed Grade 12 report card, first and second semesters, plus a Certificate of non-issuance of Form 137/SF-10 for College Admission, which CvSU says proves the applicant has never been enrolled in another university or college.
  • ALS passers — Certificate of Rating with eligibility to enrol in college.
  • Associate, certificate, vocational or diploma degree holders — transcript of records with graduation date.
  • Transferee applicants — certificate of grades or transcript of records with eligibility to enrol in college, and all enrolled subjects must have final grades.
  • Second course applicants — transcript of records with graduation date.
  • TCP applicants — transcript of records with graduation date.
  • Foreign applicants — passport; high school report card, or transcript if transferring, issued by the school registrar in the country of origin; certificate of good moral character from a school authority in the country of origin; police clearance from the national police authority in the country of origin; and a statement of account or proof of financial support from a parent, guardian or sponsor.

The certificate of non-issuance of Form 137 is the one most senior high school graduates have never heard of. It is a negative certification — proof that your permanent record was not released to any college — and only your senior high school can produce it. Request it early. Our Form 137 and SF10 guide explains what that record is and who controls it.

CvSU's older, still-live admission requirements page adds physical items you may be asked for at the counter — two 1x1 ID pictures, a short ordinary white folder, and a photocopy of the certificate of good moral character. Transferees on that page also need transfer credentials or honorable dismissal and an NBI clearance photocopy, and second-degree takers a transcript photocopy. It also states two blunt reminders: incomplete requirements, no transactions, and a portal copy of grades is not acceptable.

The sequence, step by step

  1. Register and apply online at your campus's admission system using a Gmail account. For the Main Campus this is CvSU's own admission portal.
  2. Upload every documentary requirement to the online admission system, inside the size and format limits above.
  3. Select your preferred date and time for validation, and save the schedule. CvSU stresses saving it. Once the validation appointment has been saved, the information details cannot be edited again. After saving, an email notification arrives with an Add to Calendar button.
  4. Attend the validation appointment and present the original copies of your documentary requirements. At the Main Campus this happens at the Student Union Building. Only applicants scheduled on that particular date and time will be accommodated — strictly no walk-ins.
  5. After OSAS validates your application, you are scheduled for the on-site admission examination. Download and print the exam permit from the online admission system and bring it on exam day.
  6. Foreign applicants must first present original documents to the Office of the University Registrar for initial validation and verification.

Two hard dependencies to internalise. You cannot pick an appointment date until your uploads are complete — CvSU says to-follow requirements are not allowed, the date cannot be selected until requirements are properly and completely uploaded, and the online application will not push through otherwise. And you cannot get an exam permit until validation is done. A missing document does not delay you by a day; it delays you by however long it takes to get an appointment slot in a window that is closing.

CvSU also says visiting OSAS ahead of your scheduled appointment is not advised, and that applicants must follow the selected schedule.

On exam day

CvSU's published reminders:

  • Bring a number 2 pencil.
  • Bring an ID card and alcohol or sanitiser.
  • Keep your examination permit safe and secure.
  • No permit, no examination.
  • Do not be late. Be present at the examination venue 30 minutes before the time.
  • Only examinees scheduled for the admission exam are allowed to enter university premises, and they are directed to the designated examination area rather than allowed to roam.
  • No food and drinks during the examination.

The exam is on-site. There is no online option in CvSU's published procedure. If you miss it, our guide on what to do if you miss an entrance exam covers the realistic options.

The conflict on CvSU's own site

This one matters, so we are stating it rather than picking a side.

CvSU's application announcement for a recent cycle says: "Transferee applicants, second course takers, and Associate/Certificate/Vocational/Diploma degree holder will only undergo College evaluation and will not take the admission exam. Result of evaluation from the College shall determine if the applicant is qualified to proceed with application or not." It adds that TCP applicants undergo College evaluation from the College of Education only and will not take the admission exam.

CvSU's admission requirements page, still live and older, describes the opposite for transferees: submit complete requirements for scheduling of an interview, OSAS issues a Notice for Interview, the student undergoes college evaluation and interview, and "if passed the evaluation/interview, photocopy the interview form and undergo admission exam as scheduled by OSAS. If failed, go back to OSAS."

The announcement is the newer document and describes the current online system, which is the reasonable read. But two live pages on one university site giving opposite answers about whether you sit an exam is not something to guess at. Ask OSAS at your campus directly, and get the answer before you plan your calendar.

Transferee cut-offs by year level

CvSU publishes hard limits on how late you can transfer in:

  • Engineering programmes — no transferee or shiftee admitted after the first year level.
  • Other programmes — none admitted after the second year level.
  • Doctor of Veterinary Medicine — none admitted after the fourth year level.

These are not soft preferences. A third-year engineering student is not transferring into CvSU engineering, whatever their grades. If you are weighing the move, our college transferee guide covers what a transfer actually costs in units and years, and what paperwork the school you are leaving has to release.

What CvSU does not publish

  • No admission exam name or acronym. CvSU calls it the admission examination and nothing more.
  • No passing score, no per-programme cut-off, no quota.
  • No test coverage, item count or duration.
  • No grade requirement — no minimum GWA appears in CvSU's published admission requirements.
  • No application or testing fee on the admission requirements or procedure pages.
  • No consolidated per-campus programme list on the admission pages.

And the line CvSU does publish that everyone should read: filling out the online application form and having a control number do not mean a sure slot for admission. OSAS says so in its own material. Remember your control number.

Timing

Application and validation windows are re-issued each cycle, differ by campus, and in the cycle CvSU published in detail the difference between the first and last closing date was more than six months. Results for the Main Campus were released through the CvSU website, tentatively, months after the exam.

Do not plan around any date you read anywhere other than CvSU's own announcements for your specific campus, including here. If CvSU is one of several applications, entrance exams in the Philippines compared shows what else falls in the same stretch of the calendar, and college admission requirements in the Philippines covers the document set most schools converge on so you can prepare one pile rather than five.

Frequently Asked Questions

Can I apply to more than one CvSU campus?

No. CvSU states plainly that an applicant cannot apply to more than one campus at the same time because there should only be one application existing for one applicant. Since the campuses run different closing dates, choosing the wrong one can cost you the cycle.

Which office handles CvSU admission?

The Office of Student Affairs and Services, abbreviated OSAS, at each campus. OSAS schedules the admission examination, validates documents at your appointment, and is the office to contact about the process. Foreign applicants go first to the Office of the University Registrar for initial validation and verification.

What do I need to start a CvSU application?

A Google email account. CvSU's online admission system requires you to log in with Gmail to fill out the application form. Everything after that runs inside that system, including uploading documents and picking your validation appointment.

What are the CvSU upload rules?

The 2x2 ID photo on a white background must be at most 200KB. Each documentary requirement is limited to 1MB, in JPEG, PNG or BMP. Scanned pages must be uploaded individually, one per page. A screenshot taken with a cellphone is explicitly allowed.

Do transferees take the CvSU admission exam?

CvSU's own pages disagree on this. Its 2024 application announcement says transferees, second course takers and associate, certificate, vocational or diploma degree holders undergo college evaluation only and will not take the admission exam. An older admission requirements page still live on the site says transferees undergo the admission exam after passing the interview. Confirm with OSAS at your campus before assuming either.

Does filling out the CvSU application mean I have a slot?

No. OSAS states that filling out the online application form and having a control number do not mean a sure slot for admission. Applicants are advised to remember the control number assigned to them.

What should I bring to the CvSU admission exam?

A number 2 pencil, an ID card, and alcohol or sanitiser. Keep your examination permit safe — CvSU's rule is no permit, no examination. Arrive 30 minutes before your time. No food and drinks are allowed during the examination, and only scheduled examinees are allowed to enter university premises.

What programmes are closed to transferees at CvSU?

CvSU publishes year-level cut-offs beyond which no transferee or shiftee is admitted: engineering programmes after the first year level, other programmes after the second year level, and Doctor of Veterinary Medicine after the fourth year level.
